Computer software applications for processing information are
extremely crucial for achieving personal goals and an organization's operational success.
A number of issues must be addressed in order to acquire and use acceptable software.
Software is perhaps far more important than the hardware it runs on and will become
increasingly more critical to users in the future. It is also becoming more expensive
because of its complexity. The user's information processing needs should dictate the type
of software that is required. An example list of criteria to consider when purchasing application
software, in question format are:
- How much user training time is required for learning the application
software?
- Is the application software easy to learn and operate?
- Is it possible to standardize software packages, i.e., to one
manufacturer?
- What type of computer and printer will the software operate on?
- What is the vendor's service and support history?
- How much is the original cost and the cost to maintain it?
- Will it meet all or most of the user's information needs?
- Will the dealer provide on-site locations for "bench" testing,
(a rigorous demonstration)?
- Is the software single and/or multi-user? And what is the cost for the
multi-user version?
- Will it work in a network environment, and if so what network?
- Can it be modified by the user or is the vendor the only source of
changes and if so, at what cost?
- Will the manufacturer supply new versions at no cost or a reasonable
cost? Are there time limitations for upgrades?
- Does the software have sufficient capacity to handle the user's current
volumes of data and future growth factors?
- Are special preprinted forms required when printing reports?
- Is there any other computer related equipment required to operate the
software?
- Are other organizations using the same software and are they satisfied
with the software?
- How long has the manufacturer been in business serving users?
Clear and concise answers should be given to each of the above
questions. Beware of the vendor who cannot provide appropriate responses to these software
questions. Service and support are very critical issues to be addressed for application
software.
